Data Quality

We are pleased to report that the high incidences of some types of errors which were severe in impact financially have been reduced to zero; the likelihood of occurrence of other error types has decreased from frequent to remote. These improvements result from new system controls such as data validation, exception reports, edit checks and embedded audits which were defined and implemented within the application to ensure accuracy, and completeness of data entry. This ongoing process consumes a lot of time as perpetual audits and validation are required. Research has been done for the acquisition of data quality tools this project is to be restarted in the new academic year.

  • Data validation – seven validations on critical data have been implemented, these validations have reduced or totally eliminated the risks of end user mistakes which have a high financial impact.
  • Exception reports – twenty six exception reports are defined and can be generated on demand. Example:
    1. Incorrect Pay Group,
    2. Missing Employee Classification
    3. Missing Job Codes
    4. Employees with missing hire dates (historical data)
    5. Terminated Employees with Pay Status
    6. Missing Salary Plan
    7. Incorrect Business Units
  • Edit Checks –.Required fields for saving data to records such as TRN #, valid values from drop down lists such as Higher Education Record types.
  • Embedded Audits – record and field level audits configured to provide history of changes to data. Additional work required to improve the audits.

 

We are in the process of completing a risk register which defines the critical areas of the PeopleSoft systems and outlines the risks associated with non-quality in each area.

 

Recently the Student Records section of the Registry started a data quality project, with the assistance of a member of our team.
